Wallets

Use Wallets to track where clinic money is held and how it moves in or out. Wallets do not create income or expenses, or classify a payment as either one. Invoices record patient charges, receipts record money received, and Expenses record clinic spending. A wallet tracks which cash or bank balance changes when receipts, expenses, deposits, withdrawals, or transfers are recorded. Asnan+ does not connect a wallet to a bank. Each wallet has one currency, so keep IQD and USD balances separate.

Before you start

Clinic admins can manage wallets and print the wallet list by default. Doctors can view wallets and print the list by default. These actions use separate Accounting permissions. Assistants need the matching permissions; to create, edit, or delete wallets or print the list, they must select a linked admin role. Only clinic admins can start a deposit, withdrawal, or transfer from a wallet row.

Create a wallet

  1. Open Accounting → Wallets.
  2. Select Add wallet.
  3. Enter a clear name, such as Front Desk IQD or Clinic Bank IQD.
  4. Choose one of the clinic’s currencies. Each wallet can use only one currency.
  5. Keep Active wallet on if the wallet should be available for new accounting activity.
  6. Select Add wallet and confirm it appears in the list.

Create separate wallets for different places you track money, even when they use the same currency. For example, use one wallet for front-desk cash and another for the bank balance. Use an IQD wallet for IQD activity and a separate USD wallet for USD activity.

Review each wallet’s balance and status before using it.

Edit or deactivate a wallet

With edit permission, select a wallet row to open its details. You can change its name or Active wallet setting, then save. You cannot change the currency after creating the wallet.

Deactivating a wallet stops new activity from being recorded in it. The wallet and its balance history remain in the list. To use it for a new receipt, expense, or transaction again, activate it first.

Record wallet activity

From an active wallet’s row, a clinic admin can open the transaction form and choose Deposit, Withdraw, or Transfer. These actions record money movement in Asnan+; they do not move cash or send a bank transfer. A transfer needs two different active wallets. When a patient pays an invoice, record the payment as a receipt so it stays linked to that invoice. A deposit in a wallet does not create a receipt or update a patient’s invoice balance.

Review and print wallet balances

The list shows Wallet, Balance, Status, and Created by. The balance includes the wallet’s currency. Select a column heading to sort by wallet name, balance, status, or creator. Use the page controls to move through the list.

Select Print in the list header to print a wallet report. This is different from the transaction action beside a wallet row. List printing requires permission to run wallet reports and is limited to 500 wallets.

Delete a wallet

Select the delete action beside the wallet and check its name in the confirmation. Asnan+ prevents deletion while a receipt, expense, transaction, or other clinic record still uses that wallet. Keep a wallet that has financial history and deactivate it when the clinic no longer uses it.

If a balance looks wrong, check the related receipts, expenses, and transactions before recording a correction. Confirm that you are reviewing the right wallet and currency; balances in different currencies are not combined.
