Receipts

An invoice is the clinic’s bill for treatment. An issued receipt records money received against that bill. Saving a receipt as a draft prepares the details but does not record a payment or update the invoice or wallet balance. Issuing the receipt updates the invoice’s paid amount and remaining balance and records which wallet received the money. One invoice can have several receipts as a patient pays in installments. Add each later payment as another receipt on the existing invoice; do not create a new invoice.

A wallet is a place in Asnan+ to track clinic funds, such as a front-desk cash balance or a bank balance. Each wallet uses one currency. Choose the wallet that actually received the payment. See Wallets to learn how to create and manage wallets.

Before you start

Clinic admins and doctors have the required receipt permissions by default. You also need access to the invoice. Creating a receipt, updating or deleting a draft, and issuing a receipt are separate permissions. Choose an active wallet in the invoice’s currency.

Add a receipt

Use this workflow when a patient pays toward an invoice that already exists. For example, if an IQD 2,500,000 orthodontic invoice has already received IQD 1,000,000, record the next IQD 500,000 installment as another receipt on that invoice. The remaining balance becomes IQD 1,000,000. Do not create a second invoice for the installment.

  1. Open the invoice from Accounting → Invoices, or from the patient’s invoice list.
  2. Select Add receipt.
  3. Check the Remaining amount and choose the Wallet that actually received the payment.
  4. Enter the Amount received.
  5. Check After receipt to see the balance that will remain.
  6. If needed, select Reference to add a transaction reference, or Date to record a custom receipt date and time.
  7. Select Add receipt inside the dialog to issue the payment, or Save draft to prepare it for later.
Check the wallet, currency, and balance before issuing a receipt.

Only compatible wallets are offered. A payment must fit within the current remaining balance. Refresh the invoice if another team member has recorded a payment since you opened it.

Apply a discount when offered

The receipt form can show a fixed or percentage Discount while the invoice is Draft or Issued. Review the recalculated remaining balance before entering the payment. The field is not offered once the invoice is partially paid or paid.

A discount changes the amount due; it is not an amount collected. Keep it distinct from the payment you enter.

Finish or remove a draft

If you have permission to update drafts, open the invoice’s Receipts section and select the draft receipt row. Review its wallet, amount, reference, and date, then choose Save changes to keep it as a draft, or Add receipt to issue it.

An unused draft can be removed with Delete draft if you have permission. An issued receipt uses the refund or void workflow instead. If a saved draft references an inactive wallet, ask an admin to reactivate the wallet before changing its payment fields or issuing it.

Find and print receipts

  1. Open Accounting → Receipts.
  2. Search, use status shortcuts, or open Filters.
  3. Narrow by status, date, patient, doctor where permitted, wallet, currency, amount, or the linked invoice’s outstanding/settled balance.
  4. Select Apply and review the matching rows.
  5. Use the row’s Print action to print that individual receipt. The Print button in the Receipts list header prints a report of receipts matching the current filters instead. It requires list-print permission and is limited to 500 matching rows; if the limit is exceeded, narrow the date range or other filters before printing.
Receipt filters help you find payments and invoices that still have a balance.

After issuing a receipt, confirm both the receipt state and the invoice’s paid/remaining totals. If the receipt was recorded incorrectly, follow Refunds and Voids rather than recording a second payment to compensate.
