Transactions
Use Transactions to record deposits, withdrawals, and transfers between clinic wallets. A deposit increases a wallet balance; a withdrawal decreases it; a transfer subtracts from one wallet and adds to another. Transactions update Asnan+ wallet balances only. They do not create a patient receipt or clinic expense, classify income or expenses, move cash, or send a bank transfer. Record patient payments as receipts and clinic spending in Expenses.
Before you start
Clinic admins can access Transactions by default and have the View, Create, Update, Delete, and Report permissions. Doctors do not have access to this page by default. Assistants need the matching Accounting permissions and must select their linked admin role. Prepare active wallets and choose the clinic member who handled the movement. A transfer needs two different active wallets.
Record a deposit or withdrawal
Use a deposit when money is added to a wallet balance. Use a withdrawal when money leaves a wallet.
- Open Accounting → Transactions and select Add transaction.
- Choose Deposit or Withdraw.
- Select the active Wallet.
- Enter the positive Amount in the wallet’s currency.
- Select the member in Handled by.
- Review the Date and add Notes if needed.
- Select Save, then check the transaction reference and wallet balance.
A deposit adds the amount to the wallet balance; a withdrawal subtracts it. Record the movement once. Use a note that helps your team recognize it later.
Transfer between wallets
Transfer money between two active wallets when the clinic moves funds from one tracked balance to another. This records the movement in Asnan+; it does not send a bank transfer.
- In Accounting → Transactions, select Add transaction, then choose Transfer. A clinic admin can also open the transaction form from a wallet’s row and choose Transfer.
- Select the From wallet and To wallet. They must be different wallets.
- Enter the From amount. For different currencies, also enter the To amount. For the same currency, the destination amount matches the source amount automatically.
- Select the member in Handled by, review the Date, and add Notes if needed.
- Select Save and check both wallet balances.
For example, to move 2,500,000 IQD between two IQD wallets, enter 2,500,000 as the source amount. Asnan+ fills the same amount for the destination wallet. For different currencies, enter the actual amount that left the source wallet and the actual amount received by the destination wallet. Asnan+ shows an implied rate from those amounts; it does not fetch or verify an exchange rate. Both amounts must be greater than zero.
Find a transaction
Search by transaction reference, wallet name, member name, note, or currency. Use Filters to narrow by transaction type, wallet, handler, date range, currency, or amount. A wallet filter includes transfers to or from that wallet. Choose a currency before entering minimum or maximum amounts, then select Apply. If a result is missing, clear filters and check again.
The list shows Reference, Date, Type, Wallet, Handled by, and Amount. A transfer’s Wallet cell shows both wallets. For a transfer between different currencies, Amount shows the amount leaving and the amount received; an implied rate may also appear. Select a sortable column heading to change the list order. Transaction references are assigned automatically, unique within the clinic, and stay with the record when you edit its other details.
Edit or delete a transaction
With the Update permission, select a transaction row to review or correct its details. If the transaction uses an inactive wallet, reactivate that wallet before changing its money fields.
With the Delete permission, use the row’s delete action and confirm the transaction reference. Deleting removes the recorded movement and reverses its effect on the wallet balance; it does not create an opposite transaction. After editing or deleting a transfer, check both wallet balances. To correct a patient’s invoice or payment, use that invoice’s receipt, refund, or void actions instead.
Print a transaction report
Select Print in the list header to print the current list. The report follows the applied filters and sort order and is limited to 500 matching transactions. If the Report permission is missing, ask a clinic admin to review your access. The report shows totals separately by currency.
If saving fails, check that the selected wallets are active, the amounts are positive, a transfer uses two different wallets, and both amounts match when the wallets use the same currency. Also confirm that the selected Handled by member is active in the clinic.
