Use a patient’s Documents tab to upload and manage clinical files, such as radiographs, clinical photos, and reports. In the default setup, new uploads are scanned for malware by Amazon GuardDuty Malware Protection for Amazon S3. Files stay unavailable until their scan status is Clean. Some files may show Not scanned when no scan result is available.
Before you start
Admins and doctors have all Documents permissions by default, but still need access to the patient. Assistants need Read to view files; uploading, renaming, and deleting also require Create, Update, and Delete, respectively. Changes require edit access to the patient. Ask an admin to check your patient access and permissions if a tab or action is missing.
Upload and open a document
- Open the patient and select Documents.
- Under Files uploaded, select Upload and choose a file from your device.
- Wait for the upload to finish and the file to appear in the table. Check its scan Status before opening it.
- Select the file name to open the document when its status is Clean.
Files must contain data and be no larger than 200 MB. Supported files include common images, PDF, text, CSV, RTF, Microsoft Office and OpenDocument files, and ZIP archives. The file extension must match its contents.
Understand file status
| Status | What it means and what to do |

| Scanning | The file is being checked. Wait for the scan to finish; it cannot be opened yet. |
| Clean | The file passed the scan and can be opened. |
| Blocked | The scan found harmful software. Do not open the file. Ask for a safe copy. |
| Scan failed | The scan failed, so the file cannot be opened. Contact an admin for help. |
| Not scanned | No scan result is available, so the file cannot be opened. Ask an admin if the status does not change. |
If your browser blocks a document window, allow pop-ups for Asnan+ and select the file again. When File unavailable appears, read the reason shown in the notification.
Sort the file list
Select File name, Status, File size, Date uploaded, or Uploaded by to sort the list. Select the same heading again to reverse the order.
Rename or delete a document
To change the displayed name, use the file’s Rename action. Enter a name in File name in the Rename file dialog, then select Save. The existing extension stays the same; renaming does not replace the file.
To remove a file, select its Delete action. Check the file name in the Delete document confirmation and select Delete. Deletion cannot be undone.
If an action is unavailable
- The Documents tab is missing: ask an admin to check your patient access and Documents Read permission.
- Upload, Rename, or Delete is missing or disabled: check the matching Create, Update, or Delete permission and your edit access to the patient.
- A file cannot be opened: check its scan status. Only files marked Clean can be opened.
- Upload fails: check that the file is not empty, is within the 200 MB limit, and has a supported extension that matches its contents.
