Invite your team
A clinic admin can invite doctors, assistants, receptionists, and other administrators to the selected clinic. The person who creates a clinic becomes its first Admin, and can invite the rest of the team. Each person uses their own Asnan+ account, so their clinic access can match their work and your team does not need to share passwords.
Before you invite
When you invite a clinic member, choose their email address based on whether they already use Asnan+:
- They already have an Asnan+ account: Enter the exact email address they use to sign in. They will open the invitation email and sign in with that account to join the clinic.
- They are new to Asnan+: Enter the email address they want to use for their personal account. Asnan+ sends the invitation to that address, and they can create their account from its link.
The person can only accept the invitation with an account that uses the invited email address. Then choose the role that matches their work.
Choose a role
Asnan+ supports four clinic roles. Choose the role that best matches the person’s work. Roles apply only to the selected clinic, and an admin can update them after the person joins.
- Admin: Use for a clinic owner or manager who needs to manage clinic settings, team access, and the subscription. Admins can see clinic-wide operational data, including all accounting records, and manage other users’ roles. Patient records still follow their privacy and sharing rules, so an admin does not automatically open another user’s private patient.
- Doctor: Use for a clinician who treats patients and records their care. Doctors work with their own patients and data. They do not see another doctor’s private patients by default; public-patient access, an explicit patient share, and other-doctor appointment access can be set when needed.
- Assistant: Use for a team member who supports one or more doctors. After the assistant joins, an admin links the assistant to the doctors they work with and chooses the exact patient, appointment, accounting, analytics, and reference access they need.
- Receptionist: Use for front-desk staff who manage patients and appointments. Their role is limited to permitted patient and scheduling information; it does not give access to clinical histories.
Admin and Doctor roles count as paid users in the clinic’s subscription. Before inviting either role, check the Paid users limit in Subscriptions. Asnan+ checks the available space when the person accepts the invitation. You can send the invitation even when no paid-user space is available, but the person cannot join until there is space.
Invite a team member
Open Users
Go to Settings in the clinic sidebar. Under Clinic settings, select Users.
Send the invitation
Select Invite user, enter their email address, and choose their role: Admin, Doctor, Assistant, or Receptionist. Then select Invite user to send the invitation.
Review the invitation
Asnan+ sends an invitation email and adds the person to the Users list with a Pending status. A pending invitation does not give clinic access; the person becomes a clinic member after they accept it.
Choose your next step
The invitation is sent, but the person must accept it before they can use the clinic. Choose what you need to do next:
- Help the person join: Ask them to open the newest invitation email and use the account with the invited email address. Join a clinic explains their steps.
- Manage the team: After they join, review or update their role, patient visibility where applicable, and assistant permissions in Users.
Having trouble?
If you have one of the following problems, try the steps below.
I sent the invitation to the wrong email
On the person’s pending row, select the Revoke (trash) icon and confirm. Then send a new invitation to the email address they should use. A revoked invitation can no longer be accepted.
The person did not receive the invitation
Ask them to check spam or junk first. If they still cannot find the email, select the Resend (circular-arrow) icon on their pending invitation to send a new one.
The invitation link no longer works
The link may have expired or been replaced by a newer invitation. On the pending or expired invitation row, select the Resend (circular-arrow) icon. Resending creates a new link, so the person must open the newest email.
The person cannot accept the invitation
First, check that they are signing in with the same email address you invited. If you invited them as an Admin or Doctor, the clinic may also have reached its paid-user limit. Check the role and available plan space in Subscriptions, then ask them to open the newest invitation email again.
I chose the wrong role
Open the person’s pending invitation from the Users list, update the role, and save the change before they accept it. After acceptance, manage their role and permissions from the team member’s settings.
