Appointments

Use Analytics → Appointments to review how many appointments were scheduled in a period, their saved statuses, and how the counts change over time.

Before you start

Each Analytics tab has its own access permission. Ask your clinic admin if Appointments is not available to you. The report starts with the current month in the clinic’s timezone. Admins and assistants working under an admin can filter by doctor; other users see appointments allowed by their clinic access.

The date and doctor filters stay selected as you move between Analytics tabs, and the selected date range appears in the page URL. Check both before comparing reports or sharing a link.

Open Appointments

  1. Select Analytics in the clinic navigation.
  2. Select the Appointments tab.
  3. Open the date picker and choose a shortcut such as Last week, or select the start and end dates in the calendar.
  4. If the doctor filter is shown, choose a doctor or All doctors.
  5. Wait for the figures and charts to finish updating.
Compare appointment volume with its recorded statuses and outcomes.

Understand the measures

The report includes appointments scheduled to start during the selected dates, interpreted in the clinic’s timezone. The cards and status panel use the appointment’s saved status. An appointment does not become Completed just because its scheduled time has passed.

Appointments per patientAll appointments in the selected range divided by the distinct patients with an appointment in that range. This is a period average, not a lifetime measure.

Appointment status shows the selected period split across Pending, Confirmed, Completed, and Cancelled. Appointment outcomes by time and its table group the same counts by day, week, or month, depending on the selected range.

When All doctors is selected, Appointments by doctors groups appointments by the active team members listed in the doctor filter. Appointments without a matching active assignment can still appear in the overall and status totals, but not under a person in this panel. Selecting one doctor filters the report to that person and hides the doctor panel.

If results look unexpected

Check the selected clinic, dates, and doctor filter before comparing counts. Keep appointment statuses current when you review completion or cancellation patterns. An empty result means there are no matching records; a loading or error message is not a confirmed zero. Wait for the report or retry after an error.
