Financial

Use Analytics → Financial to compare billed revenue, payments received, outstanding invoice balances, and paid expenses. Each clinic currency is shown separately.

Before you start

Each Analytics tab has its own access permission. Ask your clinic admin if Financial is not available to you. The report starts with the current month in the clinic’s timezone. Admins and assistants working under an admin can filter by doctor; other users see records allowed by their clinic access.

The date and doctor filters stay selected as you move between Analytics tabs. A non-default date range and a selected doctor appear in the page URL, so check them before sharing a link. The currency selector applies to the Financial report only. It appears when the clinic has more than one currency; IQD and USD are never added together or converted.

Open Financial

  1. Select Analytics in the clinic navigation, then select Financial.
  2. Open the date picker and choose a shortcut such as Last week, or set the start and end dates in the calendar.
  3. If the doctor filter is shown, choose a doctor or All doctors.
  4. If currency tabs are shown, select the currency you want to review, such as IQD or USD.
  5. Wait for the figures and charts to finish updating.
Compare billed and received amounts with balances, expenses, and cash position for the selected currency.

Understand the figures

The four cards at the top compare Total revenue, Collections, Outstanding, and Expenses with the previous date range. The other amounts and charts use the same selected dates, doctor, and currency.

Total revenueInvoice totals for Issued, Partially Paid, or Paid invoices issued in the selected period. Draft, Void, and Refunded invoices are excluded.
CollectionsReceipt amounts received in the selected period. Only issued receipts linked to Paid or Partially Paid invoices count; refunded or voided receipts are excluded.
OutstandingRemaining balance on Issued or Partially paid invoices from the selected period. This is not the balance for every older unpaid invoice.
ExpensesThe paid amount for Paid or Partially paid expenses in the selected period. A partially paid expense contributes only its paid amount.
ProfitTotal revenue minus paid expenses.
Net cashCollections minus paid expenses.

The report uses different dates for each figure: revenue and outstanding follow the invoice issue date, collections follow the receipt date, and expenses use the payment date or, if that is missing, the expense creation date. So an invoice issued in one month and paid in another can add revenue to one month and collections to another.

Collection rate is Collections divided by Total revenue. Expense ratio is Expenses divided by Total revenue. Both display as zero when revenue is zero. The change arrows compare the cards with the previous date range: increases in revenue and collections are positive, while decreases in outstanding balances and expenses are positive.

Read the charts and table

  • Cash position summarizes Net cash, Profit, Collection rate, and Expense ratio for the selected currency.
  • Margin trend plots Profit and Net cash over the selected period.
  • Expense categories shows each category’s share of paid expenses. Expense by category (amount) shows the amount for each category.
  • Financial metrics lists the six figures by day, week, or month, depending on the length of the selected date range.

If figures do not match

  1. Check the selected clinic, dates, doctor, and currency.
  2. Open Accounting → Invoices and check invoice issue dates and statuses.
  3. Open Receipts and check receipt dates and refund or void history.
  4. Open Expenses and check payment dates, payment status, and category.
  5. Return to Analytics after the records finish updating.

A wallet deposit or withdrawal is a wallet movement, not a patient collection. It will not change Collections unless the payment is recorded as a receipt against an invoice. A loading or error message is not a confirmed zero; wait for the report or retry after an error.
