Users

Only clinic admins can manage Users. Each person should use their own account; membership, role, patient access, and assistant permissions apply only to the selected clinic.

Choose Settings in the clinic sidebar, then select Users.

Find a member or invitation

  1. Use Search by name or email to find a person.
  2. On a large screen, choose All, Active, Inactive, Pending, or Expired above the list. On a smaller screen, open Filters, choose a Status, then select Apply filter.
  3. To return to the full list, choose All above the list on a large screen, or select Clear all in the filter panel on a smaller screen.
Use the status filters to review members and different invitation states.

Invite or manage an invitation

Choose Invite user, enter the person’s email, select the intended role, and send the invitation. See Invite your team for the sending and status steps, and Join a clinic for the recipient’s path.

For a pending invitation, click its row to edit the role, or use the row-end icons to Resend or Revoke it. Resending creates a new invitation link; ask the person to use the latest message. Revoke an invitation that should no longer grant access. After acceptance, manage the person as a clinic member: click their row to edit their settings, or select the Delete icon at the end of the row to remove their clinic access, as described below.

Change a member’s role or active status

  1. Click the member’s row to open their settings.
  2. Review the name at the top of the edit page.
  3. Use Role to choose the intended clinic role: Admin, Doctor, Assistant, or Receptionist.
  4. Review Activate user. Turning it off retains the user’s settings while removing their clinic access.
  5. Review the role-specific settings that appear below.
  6. Choose Save and wait for User settings saved.
Choose the linked doctors and only the specific section actions this assistant needs.

The clinic must keep at least one active admin. Asnan+ blocks a change that removes, demotes, or deactivates the last active admin. Admin and Doctor roles count toward the plan’s paid-user limit. A role change or invitation acceptance can be blocked if it would go over that limit.

Set doctor and admin patient visibility

For applicable roles, Patients privacy offers Private, Public, or Hybrid. The separate Access public patients control governs access to public patient records. View other doctors’ appointments controls whether appointments assigned to other doctors can be shown.

Choose these settings according to your clinic’s patient-sharing workflow. They do not replace explicit patient share settings, and appointment visibility should not be treated as unrestricted access to every clinical record.

Receptionist settings do not expose the same patient-privacy controls as doctor/admin settings. Receptionist workflows focus on their permitted patient and scheduling information; the role is not a shortcut to clinical history.

Configure an assistant

  1. Set Role to Assistant.
  2. Under Linked doctors, select the doctors the assistant works with.
  3. Review each permission panel rather than assuming that linking a doctor grants full access.
  4. In Patients, choose the needed actions for contact details, profile details, status, medical history, dental history, documents, notes, and share settings.
  5. Review Appointments, Accounting, Analytics, and References. Grant only the specific visible actions needed for the person’s work.
  6. Choose Save.

Some panels include Toggle all, but individual permissions allow a more specific assignment. Actions such as create or update can require view access, and the form maintains those dependencies.

The assistant then uses Act as doctor to choose a linked doctor. What the assistant can do depends on both their permissions and the records that doctor can open. If a section disappears, check the selected doctor and these permissions before changing any data.

Remove a clinic membership

For a person who should leave the clinic, select the Delete icon at the end of the member’s row and review the confirmation. This removes their membership in the selected clinic, rather than deleting their personal Asnan+ account. Related patient share access for that membership is removed and room default-doctor assignments are cleared.

If the person may return, turn off Activate user instead of removing them. After any access change, ask the person to reopen the clinic and check the expected sections. For a missing page or action, follow access troubleshooting.
