Labworks
Use Labwork in a patient’s Dental record to track a procedure sent to a laboratory, including its status, dates, price, and supplier. Saving the dental record stores the labwork. Create a separate linked expense when you need to record the clinic’s cost.
Before you start
Open the correct clinic and patient. Confirm the patient’s name in the header, then select Dental.
Assistants need Read to open Dental. Adding labwork to a new record requires Create; changing a saved record requires Update. Both require edit access to the patient. A view-only patient share allows review but not changes. Creating a linked expense also requires edit access to the patient and permission to create clinic expenses. Add labwork to a dental record
- In Dental records, select Add record to start a new record, or select an existing row to open it.
- In the record editor, select Labwork to add a labwork card.
- Under Procedure, search for and select the matching procedure from the clinic list. Use an existing match; ask someone with permission to add it to the list if it is missing.
- Enter the Price and currency. Choose a treatment Status: Planned, In progress, Completed, or Cancelled. This status tracks the labwork and is separate from any expense status.
- Add the Requested and Completed dates when known. Under Laboratory, select the supplier. If you enter a new laboratory and the form offers to add it, complete that action before saving.
- Add a Note if needed. Select Save and wait for the Record created or Record updated notification.
Create a linked clinic expense
Saving labwork does not create an expense. After you save a priced labwork item that has no linked expense, Create expense appears above the Dental records table when you have edit access to the patient and permission to create clinic expenses.
- Select Create expense above the records table. The dialog lists labwork items that are eligible for an expense.
- Review the procedure, status, laboratory, and amount. Remove any listed item that should not be included.
- Choose Unpaid if no payment was received, Partially paid if some was received, or Paid if the full total was received. For Partially paid, enter the amount actually received.
- Select the matching Wallet for each currency and choose an expense Category. Enter a payment date when applicable, then select Create expense.
The app keeps each currency separate; it does not convert or combine different currencies. The linked expense is recorded in clinic expenses and can be reviewed under Accounting > Expenses. See Expenses for expense records and payment details.
Update labwork
Open the dental record and expand its Labwork card. Change the procedure, price, status, dates, laboratory, or note, then select Save and wait for Record updated.
If the labwork has a linked Partially paid expense, its price must remain greater than the amount already paid. If the app rejects a price change, review the linked expense first. Change an expense’s currency from Accounting.
Remove labwork
In the dental record editor, select the remove icon on the Labwork card, then select Save and wait for Record updated. Removing the card removes the labwork from the dental record; it does not delete its linked clinic expense. Review or manage that expense under Accounting > Expenses.
If an action is unavailable
- The Labwork action is missing or disabled: check your Dental Create or Update permission and edit access to the patient with an admin.
- Create expense is missing: check that a saved labwork item has a price, has no linked expense, and that you have edit access to the patient and permission to create clinic expenses.
- A laboratory cannot be selected: choose an existing supplier or finish adding the typed laboratory before saving.
- A labwork price change is rejected: check whether the linked expense is partially paid and whether its paid amount is less than the new price. Change the expense currency from Accounting.
