Appointment calendar

Use the clinic calendar to plan a month, week, or day. Use a patient’s Appointments tab when you want that person’s past and upcoming bookings together.

Choose a calendar view

  1. Open Appointments.
  2. Confirm the selected clinic and doctor.
  3. Open the view selector and choose Month view, Week view, or Day view. On smaller screens, Week view is hidden; choose Month view or Day view instead.
  4. Use the previous and next controls to move through dates. Select Today to return to the current date.
  5. Select an appointment to open its details.
Five one-hour appointments run from 9 am to 2 pm without gaps. Cancelled bookings appear in their own list.

The calendar remembers its last date and view in the current browser. If it opens on an unexpected period, select Today before assuming today’s appointments are missing.

In month view, crowded dates can show a count such as 2 more…. This count is not a button. Select the date once to show all of that day’s appointments below the calendar, or choose Day view for the full time grid. In day and week views, use the time grid to see each booking’s duration. Calendar dates and times follow the clinic timezone.

Switch doctors

When your role allows it, doctor tabs or a Select doctor menu appear above the calendar. Select the doctor whose appointments you need.

Receptionists work with the selected doctor. Admins and doctors need View other doctors’ appointments access to see another doctor’s calendar. Those bookings are read-only: you cannot add, change, or delete them from that doctor’s schedule. Assistants select one of their linked doctors. An admin grants Appointments access separately for View, Create, Update, and Delete; each action needs its matching permission. See Users for assistant access.

The main calendar shows appointments for the selected doctor and visible dates. Rooms appear in appointment details, but this calendar does not have a room filter.

Find cancelled appointments

In Day view or Week view, select the Cancelled button and count above the calendar to open the cancelled appointments for that period. This button appears only when cancelled bookings are available. Select an item to review it. A cancelled booking stays in the patient’s history but does not occupy an active schedule slot.

For one patient’s longer history, use the patient’s Appointments tab. If you need to restore a cancelled booking, edit its status; the requested time must still be available.

Review one patient’s appointments

  1. Open the patient’s record and select Appointments.
  2. Review the Date, Time, Status, Doctor, Room, and Notes columns.
  3. Select Date, Status, Doctor, or Room in the table header to sort the displayed appointments. Select the same heading again to reverse direction.
  4. Use the page controls when more appointments are available.
  5. Select a row to open the appointment. Your role and selected doctor determine whether you can edit it or only view it.

Use Add appointment above the table to book the same patient again. Available row delete actions use the same permission and confirmation checks as the main calendar. Follow Manage appointments for the complete editing workflow.

If the schedule looks empty or incomplete

  1. Select Today, or move to the expected date range.
  2. Check the doctor tab or selector. A different doctor’s calendar has different appointments.
  3. Confirm the selected clinic. Assistants should also check the selected doctor.
  4. Check the cancelled-appointment area or the patient’s appointment history.
  5. If a loading error is displayed, use Retry. Previously displayed data may remain visible after a refresh error, so wait for the retry before assuming it is current.

If a colleague can see an appointment but you cannot, ask an admin to check your appointment and patient access. Sharing a patient, managing appointments, and viewing other doctors’ calendars are separate permissions.
