Prices
Use Prices to maintain fee schedules that pair procedures with a fee, currency, and allowed discount. If an active price is available, selecting a procedure in a Dental record fills a blank price and its currency with the lowest matching amount from price lists you can access. This gives the team a consistent starting amount; review it for the patient. Changing a reference price does not update an existing invoice. Procedure names are maintained separately in Procedures.
You need access to References → Prices. Creating, updating, deleting, and sharing are separate permissions, and a shared list can be view-only.
Create a price list
- Open References → Prices and choose the list-creation control.
- Enter List name, Abbreviation, and an optional Description.
- Review Active list. The interface uses this setting for default pricing workflows.
- Turn on Public list if clinic admins and doctors with the correct permission should be able to use it.
- Choose Add list.
Separate lists help keep regular fees apart from special pricing. For example, use one list for standard fees and another for a seasonal offer. Dental records fill a blank price from the lowest numeric amount for that procedure across active lists you can access, and use that entry’s currency; amounts are not converted before comparison. Keep the offer list active while its pricing should be available, then mark it inactive when the offer ends. Review the prefilled amount and currency for the patient. Choose a currency on each price entry; a secondary clinic currency does not change it automatically.
Add a procedure price
- Select the intended price list.
- Choose Add price.
- Search for the Procedure and select the correct result.
- Enter the Price and choose its Currency.
- Set Allowed discount using Fixed or Percent, as appropriate for the list.
- Choose Add price and check the new row.
If the procedure does not exist, the search may offer Add “name” to [list] or Add “name” to a new list. These actions also require permission to create procedure references. If that permission is unavailable, ask the person maintaining procedures to add it first.
Update prices and list details
Click a price row to change its procedure, amount, currency, or allowed discount, then choose Save. To remove a price, choose the trash-can icon at the end of its row and confirm. To edit the fee schedule, choose Edit (the pencil-in-a-square icon) beside the list abbreviations, after Share, and update its name, abbreviation, description, active status, or Public list setting.
A reference-price change should not be treated as proof that a previously created patient invoice has changed. Open the relevant invoice and review its own values when checking a patient’s bill.
Share access
- Select the list. In the row of price-list abbreviations above the table, choose Share (the icon showing three connected dots) immediately after the list buttons. On a narrow screen, scroll the row horizontally if the icon is out of view.
- Search for a clinic member in Add clinic member.
- Grant view-only or edit access as needed.
- Choose Save.
The list owner retains full access and cannot be removed. Only the owner can change the list’s visibility. Public list makes it available within the clinic, not outside it.
Remove an entry or list
To remove an entire fee schedule, open its editor with Edit (the pencil-in-a-square icon) beside the list abbreviations. Choose the labeled Delete list button in the dialog footer and confirm. All prices inside that list are removed.
If adding a price fails, verify the selected list, procedure, currency, amount, and discount. If the procedure search cannot load, retry after your connection is restored. For patient billing, continue with Create invoices.
